Coordinator - Dispatch

Role Purpose

The Dispatch Coordinator is responsible for coordinating and managing the dispatch of heavy section steel products to customers, ensuring timely delivery, accurate documentation, and efficient material flow while maintaining safety and quality standards

 

Accountabilities & Activities

Key Activities

  1. Responsibilities

Dispatch Coordination

  • Schedule daily dispatch operations based on the Dispatch Plan
  • Prioritize dispatches based on customer requirements, urgency, and transportation availability
  • Optimize truck loading schedules to maximize efficiency and minimize demurrage charges
  • Monitor material handling and loading operations, and ensure adherence to scheduled timelines
  • Track vehicle movements and maintain real-time dispatch status updates

 

Documentation & Record Keeping

  • Prepare and verify dispatch documents
  • Maintain accurate records of daily dispatches, inventory movements, and pending orders
  • Update dispatch status in SAP systems in real-time
  • Generate daily, weekly, and monthly dispatch reports for management review
  • Ensure proper documentation of material specifications, quantities, and inventory

 

Documentation & Record Keeping

  • Monitor finished goods inventory levels and communicate requirements to production planning
  • Conduct physical verification of stock and reconcile with system records
  • Identify and report slow-moving or non-moving inventory
  • Ensure proper storage and stacking of heavy sections to prevent damage

  1. Additional Duties and Responsibilities:

Material Verification

  • Verify physical quantities and specifications of steel products against dispatch orders
  • Coordinate with quality control for physical verification of the material
  • Ensure proper tagging, marking, and identification of materials
  • Report any discrepancies between ordered and available stock

 

Coordination & Communication

  • Coordinate with transporters for timely arrival and departure of vehicles
  • Communicate dispatch schedules and delivery timelines to customers
  • Address customer queries regarding dispatch status and expected delivery dates
  • Resolve issues related to vehicle delays, loading problems, or documentation discrepancies
  • Any additional duties/ task requested by the line manager.

 

 

  1. Ensure Safety and Regulatory Compliance:

Safety & Compliance

  • Ensure compliance with safety protocols during loading and dispatch operations
  • Verify proper load securing, weight distribution, and transport regulations
  • Maintain records for statutory compliance and audits
  • Report any safety incidents or near-misses in the dispatch area

 

     Additional Duties and Responsibilities

  • Ensure work efficiency of Overhead Cranes, Forklifts and Internal Shifting Trucks
  • Perform additional duties as assigned by management to support organizational priorities and business objectives

 

Knowledge, Skills and/or Abilities (attributes) required

  • Proficiency in MS Office (Excel, Word) and ERP systems (SAP S/4HANA)
  • Knowledge of inventory management and dispatch management software
  • Understanding of steel product specifications, grades, and standards
  • Basic knowledge of transportation regulations and loading procedures

  • Any Suitable Diploma or degree

Professional Experience

  • Preferred 2 years in Steel industry

Language(s) Known

  • Arabic (Essential/Preferred)
