Document Controller - Reliability

General Summary

 

To receive, control, distribute and manage technical and non technical documents such as engineering drawings (PFD’s, P&ID’s, Mechanical drawings, Civil drawings, As-builts etc.), manuals (Equipment OEM manuals), procedures and catalogues, specifications, ensuring data security and easy retrievable. Responsible for the operational document control of all Reliability engineering and other documents and reports (Change management) as requested. This includes ensuring that all such information is updated and uploaded onto the Trusts central document control system in a timely fashion. Participates in implementation and roll out of organizational structural changes, from documentation and administrative perspective.

 

Additionally, performs Department Coordinator responsibilities as assigned by Reliability department manager

 

This position will provide technical document control expertise for AIM(Asset Integrity Management) mainly between below departments.

- Shutdown and Planning

- Reliability

- Execution Primary & Rolling.

- Central Functions

 

Essential Duties and Responsibilities (Key Accountabilities)

Document Review:

    • Co-ordinate the review of documents requiring regular review and/or update, providing a quarterly report to the Excellence & Innovation Manager on the status of all such document

 

    • Advice on the layout of documents and arrange their printing appropriately in Reliability Manager.
    • Collect, distribute and send mails for Reliability Manager
    • Ensure documentation compliance with an acceptable standard of quality and format in compliance with ES’s management systems
    • Ensure documents are numbered, filed and made accessible as appropriate for easy identification & retrieving of data

 

Effective System Implementation:

    • Identify and participate in any operational changes necessary to ensure the effective development of the central document control system.
    • Receiving non-technical/technical documents, drawings, data sheets, and specifications in hard copy and electronic format for Emirates Steel
    • Maintain the latest revision status of documents/drawings in master file
    • Administer and maintain the electronic document management system

Policies, Procedures and Forms:

    • Upload all policies, guidelines and consent forms ensuring all documents are firstly subject to an appropriate approval process
    • Advise authors on the appropriate format of documents and to ensure that uploaded documents are formatted appropriately

Confidentiality:

    • Ensure documents are transmitted to the appropriate department in secure and efficient manner to maintain quality with confidentiality standards.

 

Additional Duties and Responsibilities

  • Cooperate with team for any special event that requires quality assessment
  • Engineering document control:

PFD/P&ID update and upload in IMS

Document control for Shutdown contracts, Purchase orders, invoices

Support technical document update for Engineering Management of Change (MOC)

Facilitate warehouse procedure review and update in IMS system

Upload all new documentation and procedures related to all AIM Sections

  • Department Coordinator duties:

Facilitate management meetings

Focal point in inter-department communication within Emirates Steel

Maintains personnel leave plans

Knowledge, Skills and/or Abilities (attributes) required

  • Good knowledge of electronic data management systems (SAP, Oracle, EDMS, etc.)
  • Good knowledge of filing system
  • Good communicator at all levels within the organization and with external parties
  • Ability to work to strict deadlines

 

Minimum Education Qualifications (Must Haves)          Any preferred professional training (Nice to have)

  • Diploma in Project Management
  • Flow Chart Applications 

 

Professional Experience (Must haves)                        Previous Experience/exposure Recommendations (Nice to have)

  •  8-12 years’ experience in engineering/technical document control
  • 5 years’ experience in technical and engineering document management system/procedure
  • Document control experience in industrial set up (Operational plants, construction, etc.
